How we use AI
Every AI feature, what it sends, and how to switch it off.

This page is generated from the application's data-practices manifest. It describes what the software actually does, because the same manifest drives the code and is verified against it on every build.
1. The short version
- AI is optional. Near Pace is fully usable with every AI feature switched off.
- Nothing is sent unless you act. There is no background analysis of your data.
- It suggests, you decide. No AI feature writes to your data by itself.
- Your content does not train models. It is processed to answer you and nothing else.
- Off means off. The switch is enforced on the server, not just hidden in the interface.

This is the complete list - the application refuses to start if a feature exists in the code without appearing here.
Milestone suggestions
Proposes a set of milestones that would break a goal you have written into achievable checkpoints.
What it sends: Goals and milestones
You stay in control: Suggestions appear as a list you choose from. Nothing is added to your plan until you accept it.
Default: Off for new accounts — you must switch it on.
Task suggestions
Proposes concrete next actions for a goal or milestone.

Writing autocomplete
Completes the title or description you are part-way through typing.

You stay in control: Shown inline as a suggestion you can accept or ignore. Never replaces what you typed on its own.

Weekly recommendations
Looks at what moved and what stalled this week, and recommends where to focus next.

Journal reflection
Reads a journal entry you select and reflects patterns back to you.

Default: Off for new accounts — you must switch it on.
Milestone suggestions and Task suggestions and Writing autocomplete and Weekly recommendations and Journal reflection are off by default because they read the most personal content in the product. You have to turn them on deliberately.
3. Who processes it
AI requests are processed by Azure OpenAI Service in Canada Central, with an individual request possibly handled in another region. Runs inside our own Azure tenant, and content is not used to train the underlying models or kept by them afterwards. The service is ours in Canada Central, but the model runs on the provider's global capacity, so a single request may be handled in another region and the answer returned here. Nothing is stored outside Canada. If you would rather no content left the country at all, every AI feature can be switched off in Settings and the rest of the product works exactly the same.

4. Turning it off
There are two levels of control, and both are enforced server-side:
- The master switch turns off every AI feature at once. While it is off, no AI request can be made from your account under any circumstances.
- Per-feature switches let you keep the ones you find useful and disable the rest.
Manage both in AI settings. Changes take effect immediately - there is no cached permission that keeps working after you have said no.
5. What it cannot do
- It cannot create, change or delete anything in your account. Every suggestion needs your acceptance.
- It has no access to other users' data - requests are scoped to your account.
- It cannot browse the web, send email, or take any action outside the suggestion it returns.
- It is not a professional adviser, and it can be confidently wrong. Verify anything that matters.
6. What we record
When an AI feature runs we record which feature it was, when, how many tokens it used, and whether it succeeded. We do not store the prompt or the response. You can see your own usage in AI settings, and these records are deleted after kept for 90 days, then deleted automatically.
The purpose is fair-usage enforcement and giving you visibility, not analysing what you asked for.
